The problem
The client lives in one tool. The quote in another. Project costs arrive as receipts, and payments are tracked separately. Connecting these records lets a team follow what was agreed, what was billed, what was paid and what the work cost.

What we built

Client management
Save contacts, legal business names, billing addresses, tax IDs, preferred currencies and payment terms. Reuse those details in quotes and invoices, with projects linked to the right client.

Quotes and invoice generation
Create branded documents with saved products and services, sections, taxes, discounts, deposits and terms. Clients can accept or request changes; accepted quotes carry into editable invoices.

Payment receipts and document history
Record full or partial payments against invoices, then generate and send payment receipts. Keep the quote, invoice and payment history connected without treating an issued invoice as money collected.

Projects, budgets and profitability
Set up client-linked projects with dates and budgets. On Business, compare accepted quotes, invoiced revenue, recorded payments and tracked costs to understand gross profit and margin.

Receipt capture and expense control
Capture on mobile, upload documents in bulk or forward selected emails. Review OCR results, categorize spend and route expenses through workspace roles and approvals.

Billable expenses and reporting
Bring eligible billable expenses into invoice drafts. Preserve tax and currency context, review reports, and export CSV or Excel records for the accountant. QuickBooks Online export is being prepared for release.

Travel requests with human support
Business subscribers can organize airfare requests and work with a real travel partner. Trip requests sit alongside the wider finance workflow.

Implementation choices
Shared records, preserved document history
Saved client information reduces repeated entry. Quotes and invoices retain the billing details used when they were created, even if the client profile changes later.
Keep agreements, invoices and cash distinct
An accepted quote, an issued invoice and a recorded payment describe different events. The product keeps those states separate so project reporting can explain its numbers.
Human review where it matters
OCR supports data entry; people can inspect the source document and extracted details. Forwarded receipts do not require access to an entire mailbox.
